At a glance: Your Google files stay in your accounts. Templates and drafts are saved locally. Optional AI sends the text you submit to external providers. This website has no advertising or application-level tracking.
1. Who we are
This Privacy Policy describes how Velion Arc LLC ("we", "us", or "our") handles information in DocCove, our macOS application, and on this product website. You can reach us at support@zyntrixal.com.
DocCove is an independent application for working with Google Drive accounts, documents, templates, file transfers, and optional AI text tools. Google and other providers operate their own services under their own policies.
2. Information we process
- Google account information: account ID, name, email address, and profile picture, used to identify and display your connected accounts.
- Authorization information: OAuth credentials needed to access the accounts you authorize. Account access and refresh credentials are stored in the macOS Keychain. Google web sessions and cookies are kept in separate local web profiles for each account.
- Drive information: file and folder identifiers, names, file types, account ownership, modification dates, starred and trash status, thumbnails, and other metadata needed to display and manage files. File content is accessed as needed for actions such as opening, downloading, exporting, or uploading files.
- Local content: templates, drafts, text, images you add to templates, account preferences, and cached file metadata stored on your Mac.
- AI requests: instructions, language and tone choices, and any current text or template text you submit for generation or revision. A Google identity token is sent to our AI endpoint to authenticate the request.
- Support messages: your email address and anything you choose to send us, including any attachments and diagnostic details you include.
- Technical data: network and request information needed by our hosting and service providers to deliver, protect, and troubleshoot the website and AI service. AI endpoint application logs record request IDs, status, operation, content type, model, and timing, rather than prompt text, generated text, email addresses, or tokens.
3. Purposes and legal bases
We process information to connect the accounts you authorize, display and manage your files, maintain local drafts and preferences, deliver AI requests you initiate, answer support inquiries, and keep the service reliable and secure. We also process information when needed to meet legal obligations or resolve a dispute. Providing information is generally your choice, but a feature may not work without the account access or content it requires.
Where European or UK data protection law applies, we rely on the basis appropriate to the activity: performing our agreement with you for requested features and related support; legitimate interests in service security, troubleshooting, and protecting our legal rights, subject to your rights; compliance with legal duties; or consent where required. You may withdraw consent for future processing without affecting processing that was lawful before withdrawal. Google authorization can be revoked separately as explained below.
4. Google access and Limited Use
DocCove requests basic account identity permissions and Google Drive access. The current Drive permission allows access to your Drive files, rather than only files created by DocCove. It supports browsing, syncing, creating, organizing, renaming, starring, moving to trash, restoring, importing, exporting, uploading, and downloading files when you use those features.
Your Mac communicates with Google's services for these operations. Your Google account remains the source of your cloud files; DocCove also keeps local metadata and thumbnail caches so it can display your workspace. Documents opened in Google's web editor are handled by Google's services and account web sessions.
Our handling of data obtained through Google APIs follows the Google API Services User Data Policy and its Limited Use rules. We use this data for the user-facing features you choose. We do not sell it, use it for advertising or credit decisions, or train our own general-purpose AI models with it. Transfers are limited to what those features require, security purposes, legal obligations, or a business transfer with your prior explicit consent, as permitted by Google's policy.
Our personnel do not read your Google files as part of routine operations. Access to specific Google user data is limited to your affirmative permission, such as when you choose to send a file or screenshot to support, or when necessary to investigate a security issue or comply with law. These restrictions also apply to people acting on our behalf. Optional AI processing and the limits of provider assurances are described in the next section.
5. Optional AI processing
AI runs only when you request generation or revision. Your submitted instructions, settings, and included text are sent through our Cloudflare-hosted endpoint at gdocs-ai.zyntrixal.com to OpenRouter and the model provider selected by the service. The current configured models are Google Gemini and DeepSeek; a backup model may be used when the primary model is unavailable. Providers and models may change as the service evolves.
Our endpoint verifies your Google identity token, but does not forward that token, your Drive access or refresh credentials, or your Google account profile to OpenRouter. It does not automatically send your full Drive library to an AI provider. Text you paste or include in an AI request may itself contain personal or confidential information.
Our AI endpoint has no application database for storing prompts or responses and does not intentionally include them in its application logs. OpenRouter and downstream model providers may process or retain inputs and outputs under their own policies and service settings; we do not promise zero retention or that every provider excludes AI inputs from training. See OpenRouter's Privacy Policy and its model provider data policies. Avoid submitting sensitive information unless you are authorized and comfortable with those practices. You can use the non-AI features without submitting AI requests.
6. Support and diagnostics
The app's feedback action opens a draft in your email application with the app version and macOS version already included. You can review and change that draft before sending it. Logs, screenshots, files, or other details reach our support team only if you choose to include them. Such materials may reveal account details or document content; remove information that is not needed to explain the issue.
Our app code does not include a third-party analytics or crash-reporting SDK that automatically sends device diagnostics to us. Operating-system or distribution-store diagnostics, if you enable them, are handled under that platform's settings and policy. Our hosting and AI infrastructure can process IP addresses, request times, error codes, and similar connection records for delivery, troubleshooting, and abuse prevention, separately from any support email you send.
8. Storage, retention, and deletion
Account preferences, cached Drive metadata, thumbnails, templates, drafts, and Google web session data are stored locally on your Mac. OAuth access and refresh credentials are stored in Keychain. We do not maintain a separate server-side database of your Drive file library. Saved local templates and drafts remain until you delete them or remove the application's local data; uninstalling the app alone may leave local files or Keychain entries behind.
While an account is connected, successful sync refreshes file metadata and removes cached records when Google reports that a file has been removed or it no longer appears in a full sync. A trashed file can remain in the local cache with its trash status so the app can display or restore it. Sync depends on connectivity and authorization; local metadata may be out of date while the account is offline or needs reauthorization.
Removing an account from DocCove stops that account's sync, removes its saved authorization, clears its account web session and settings, and attempts to remove its local Drive metadata cache. If cleanup fails, the app displays an error. Disconnecting does not delete your files from Google Drive and does not automatically delete saved local templates or drafts. Files you downloaded or exported to other folders also remain until you delete them.
We keep support correspondence only while it is needed to handle the issue, maintain relevant support records, resolve disputes, or meet legal obligations, then delete or anonymize it. The period depends on the nature of the request and any applicable retention requirement. Technical records follow the retention configured by the relevant infrastructure provider. Contact us if you want information you sent to support deleted; we will explain any lawful reason for retaining it. Data independently held by Google, an AI provider, or another platform remains subject to that provider's retention and deletion procedures.
9. Your choices and privacy rights
- Remove a connected account in DocCove to stop using its saved access in the app.
- Revoke DocCove's access through your Google Account connections. Disconnecting locally and revoking Google access are separate actions.
- Delete templates and drafts in the app, and remove exported or downloaded files using Finder.
- Choose not to use AI, or omit personal information from requests.
- Email support@zyntrixal.com to request access to, correction of, or deletion of personal information we hold, or to raise a privacy concern.
Depending on the law that applies to you, you may also have rights to a portable copy of your data, to object to or restrict processing, to withdraw consent, and to complain to your local data protection authority. You may use an authorized representative where the law permits. We may need to verify your identity and the representative's authority, and will respond within the time required by applicable law. If we cannot fulfill a request, we will explain the applicable reason and any available appeal process. We do not penalize you for exercising privacy rights.
We cannot retrieve or erase files kept solely on your Mac or independently controlled by your Google account. The local controls above and Google's own tools let you manage those copies directly. Revoking authorization or withdrawing consent may prevent the corresponding features from working.
10. Website and cookies
This product website is informational. It has no account login, payment form, advertising scripts, or application-level analytics. It does not set its own cookies or browser storage. Our hosting provider, Cloudflare, may process IP addresses, request headers, and other technical information to deliver and secure the website, and may apply security measures at the infrastructure level.
Following a link to another website or sending an email is subject to that service's policies. Google cookies used inside the DocCove app are separate from this website.
11. External sites and platforms
Google's sign-in pages and embedded document editors, software distribution stores, and websites linked from DocCove are operated by their respective providers. Those providers may receive information directly from you and use cookies or other storage independently of us. This policy does not describe all of their practices. Review the relevant provider's privacy policy before using its service, including Apple's Privacy Policy when using Apple services.
12. Security and children
We use HTTPS for network communications, macOS Keychain for account access and refresh credentials, and account-specific local storage and web sessions. No storage or transmission method can be guaranteed completely secure. Protect your Mac and your Google accounts, and avoid sharing credentials.
DocCove is intended for a general productivity audience and is not directed to children under 13. If you believe a child has provided personal information to us, contact support@zyntrixal.com so we can address it.
13. Updates and contact
We may update this policy when the product or its data practices change. The effective date above identifies the current version. We will provide additional notice or request consent where required for a material change in how we handle information.
